Queues are a great way to sort your work and prioritize tasks. But what if you want to look across categories to organize your tasks by work type? Or if you need to see all assignments that require sign-off from another team? That’s where tags come in.
Add tags
Add a tag to an existing task
To tag a task, hover over the task and click on the tag icon.
This will show the tag panel for the task. Click the tag button and either type a new tag name and press Enter or choose an existing one from the list.
The new tag will show up below the task name.
Add multiple tags to tasks
You can also add several tags to a task at a time. When you open the tag dropdown, click the checkboxes of all the tags you'd like to add to the selected tasks. Tags that are already applied to tasks will be shown at the top of the tag dropdown. When you're done, select Apply.
If you only need to add one task, you can click any other part of the tag name, and it will be added to your tasks with a single click.
Add a single tag to a new task
When creating new tasks you can quickly add tags by using the pound (#) symbol and typing the tag name in the description (single word tags only).
How to choose useful tag names
When you're choosing tags, it’s helpful to use words that have to do with the content of the task. In the example above, the user is organizing tasks in their queues based on location, and then adds tags based on what they are actually doing and the materials or contractors they'll need.
Will this task require working with the finance department? Use the tag finance.
Does this task mean you’ll need to buy something to complete it? Try the tag shopping.
The key to tags is they should add searchable information to the task. That way, it’s essentially providing a whole extra digital filing system so you can plan your work more effectively.
👉 Pro Tip: If you want to use the # to add tags to tasks as you create them, you shouldn't include spaces when naming your tags. This will also make using tags with the Quick Add Window and search function easier.
Edit tags
Edit tag color
To change the color of a tag, open its dropdown menu from the Tag Block in the left-hand panel. Select Change color and choose a new one from the options shown.
Edit tag name
In the left hand panel, from the Tag Block, click the dropdown menu for the tag you want to change and choose Edit...
This will open a pop-up window where you can edit the name and then choose if you want to update the tag for only your own tasks, or also for tasks shared with you.
Remove tag from a task
To remove a tag from a task, hover your mouse over the tag and click the small X that appears on the right of the tag.
This will remove the tag from that task, and will not delete the tag from your entire account.
Remove multiple tags from a task at once
If you want to remove several tags from a task at one time, open the tag dropdown. All tags applied to the task will be at the top of the dropdown. You can either click the checkmark to remove specific tags, or choose Remove all tags at the bottom to remove them all with one click.
Search tasks with tags
Search from the Tag Block
The Tag Block shows you an alphabetical list of all the tags you have created in your account. It’s located in the left-hand panel of GQueues.
To see all tasks with a tag, click on the tag in the panel to see the corresponding tasks.
Search from tasks
You can also click on any tag in a task to see a list of all other tasks with that tag.
Search Tags to Plan Your Work
Tags give you the option to search tasks by the type of work you need to complete, not just by when they are due or the original queue in which you created them.
In this example, the user can look at what needs to be done at a specific property just by looking at their queues. This will let them easily plan out the order they want to perform the tasks at that location. But when they want to buy the paint they’ll need for this month, they can search by the painting tag and see all the paint they’ll need across properties. This means only one trip to the store and spending less by buying in bulk.
Because you don’t always want your tasks displayed in the same way, tags offer you the flexibility you need to stay organized without actually storing your tasks in multiple places. Minimal confusion, maximum efficiency.
