Filter and organize search results for key information

Smart Queues and Searches are dynamic, meaning the tasks displayed depend on which tasks in your account currently meet the criteria. Because tasks don’t actually live in Smart Queues or search results, and the tasks that show are always changing, you cannot manually reorder tasks in a Smart Queue or a Saved Search.

But what you can do instead is sort and group the current display of tasks. This is a super powerful tool when you use Smart Queues and searches to determine what to work on next.

Reorganize search results

Group tasks by common characteristics

You can group tasks together based on their queue, date, or tag. This creates sections within the display so it’s easier to take in the information and determine your next steps.

For example, if you’re looking at tasks due in the coming week, it’s nice to group by date. This way you can see everything coming due in the near future, but the tasks due today will all be grouped together at the top.

Group tasks by date

Whenever you have a grouping, that will be applied first, and then any sorting you do will be applied within each group. You can also choose No grouping to let the sorting be applied to all tasks evenly.

Sort tasks to change display order

To show tasks in a different order, click the Sort dropdown menu and select one of the options:

  • Date

  • Date Created

  • Title

  • Queue Order

  • Tag

  • Date Completed (only available when viewing the Archived tab of results)

Sorting is applied after grouping. To have sorting apply to all tasks evenly, select No grouping from the Group dropdown menu.

👉 Pro Tip: Sort by Queue Order puts tasks in order by the number they have in their original queue. This is most useful when combined with the Group by Queue option

Save your preferences

Smart Queues and Saved Searches remember how you last sorted and grouped the tasks, so the next time you open that Smart Queue, it will automatically organize the tasks the same way.

❗️Please Note: Whenever you perform a simple or advanced search from the search bar (not accessing a Saved Search from the Smart Queue block), the tasks will display grouped by queue first, then sorted by date. You can still change the grouping and sorting manually, but your preferences will not be saved for the next time you complete a search.
